Backfill

Backfilling refers to recruiting for a position that has become vacant, rather than creating a new role. The opening exists because someone left, whether through resignation, termination, promotion, retirement, long leave, or parental leave, and the work they were doing still needs to be done.

The practical case for backfilling promptly is straightforward. Vacant roles don’t stay neutral for long. Work gets redistributed onto existing team members, important tasks get deprioritized, and gaps in coverage start affecting output. Filling the position restores capacity and keeps the team functioning without the strain of running short-handed.

For HR, backfilling is also a regular part of workforce planning. Knowing which roles are likely to open, through retirements, planned promotions, or recurring turnover patterns, makes it possible to move faster when a vacancy actually appears rather than starting from scratch each time.
